Privacy Policy

This Privacy Policy is a notice of our practices and, together with our Terms of Service, forms part of the agreement between you and WeFixPdfs. By accessing or using the Service, you acknowledge that you have read this Policy and agree to the handling of information described here. If you do not agree, do not use the Service.

1. Binding notice; no extra promises

This Policy describes how WeFixPdfs intends to handle information. It is not a warranty, service-level agreement, or guarantee of confidentiality, deletion, or security. Nothing in marketing copy, blog posts, tool labels, or support replies expands this Policy unless we agree in a signed writing.

Any claim about privacy, data, files, cookies, or security is governed by this Policy and our Terms of Service, including the disclaimers, limitation of liability, indemnity, and governing-law clauses. Those limits apply to the fullest extent the law allows.

2. Who we are

WeFixPdfs (the "Service") is operated by the WeFixPdfs team. We decide how personal data described in this Policy is handled, except where a third party (such as a payment company) acts as its own controller of data you give them directly.

3. Your responsibility

You decide which files to process. You must not submit content you are not allowed to handle. You are solely responsible for: (a) keeping original copies; (b) what appears in those files, including other people's personal data; (c) your device, browser, extensions, and network; and (d) any disclosure that happens on your side before or after using the Service.

Do not use WeFixPdfs for material that needs a special legal regime we have not agreed to in writing (including HIPAA-covered health data, attorney–client privileged files unless you accept the risk, classified information, or cardholder data that PCI-DSS requires us to store). If you do anyway, you do so at your own risk and WeFixPdfs is not a business associate, professional adviser, or data archive.

4. How tools are designed to work

In-browser tools are designed so file bytes are processed on your device and are not intentionally uploaded to us. That design can fail because of bugs, browser behaviour, malware, extensions, corporate proxies, or future product changes. We do not promise that no fragment of a file will ever reach a server or a log.

Server-side / Pro tools (including compression, OCR, and Office conversion, when offered) require you to send the file to us. By using those tools you instruct us to receive, process, and return a result. We may use subprocessors and infrastructure in any country. We do not promise that operators, hosts, or error systems will never have technical access to a file while a job is running.

5. Information that may be processed

Depending on how you use the Service, we or our providers may process:

  • Files and derived output you submit to a server-side tool, plus technical job metadata (time, size, format, tool used, error codes). Filenames or similar metadata may appear in logs.
  • Account and billing data if you register or pay: email, login identifiers, plan status, and payment confirmations. Card numbers are handled by the payment provider, not stored by us as a full PAN.
  • Device and usage data: IP address, user agent, dates, URLs, referrers, approximate location from IP, cookies or similar storage, and crash or performance data.
  • Communications you send us.

We may also process information our hosting, DNS, CDN, email, authentication, and payment providers collect under their own terms. Those providers are independent of this Policy to the extent they act as controllers.

6. Purposes

We process information to:

  • Provide, maintain, debug, and improve the Service
  • Complete jobs you request
  • Operate accounts, billing, and customer support
  • Protect the Service, prevent fraud, spam, and abuse
  • Comply with law, legal process, and enforcement of our Terms
  • Establish, exercise, or defend legal claims

We do not sell personal information for money. We do not use document contents to train public AI models as a product feature. We may still use aggregated or de-identified technical statistics that do not reasonably identify you.

7. Legal bases (where a law requires one)

Where a law such as the GDPR requires a legal basis, we rely on: performance of a contract (providing the Service); legitimate interests (security, abuse prevention, basic operations), which we consider necessary and not overridden by your interests in ordinary use; legal obligation; and consent only if we ask for it (for example optional cookies). You may object where that law gives you that right; we may continue processing if we have compelling grounds or a legal requirement.

8. Retention — practice, not a guarantee

Our operational practice is: not to keep an archive of in-browser files; to delete server-side job files after we finish (or fail) a job when it is practical to do so; to keep account and invoice data while the account exists and as tax or accounting rules require; and to keep logs and support mail only as long as we consider useful for security, operations, or disputes.

Copies can remain in backups, caches, error reports, email systems, or provider logs for a period we do not control in full. We do not warrant a maximum retention time. We may keep information longer if we reasonably believe we need it for security, abuse, a chargeback, a legal demand, or a dispute.

9. Disclosure

We may disclose information:

  • To vendors who help us run the Service (hosting, CDN, email, auth, payments, security)
  • If we believe in good faith it is required by law, regulation, court order, warrant, or government request, in any country where we or a vendor operate. We may not be allowed to tell you.
  • To protect WeFixPdfs, our users, or the public from harm, fraud, or illegal activity
  • In a merger, acquisition, insolvency, or sale of assets, to the successor or advisers, who may then handle data under this Policy or a replacement notice
  • With your direction (for example you email a file to support)

10. International processing

You use a Service that may be hosted and supported outside your country. Information may be processed in Sri Lanka, the United States, the European Economic Area, or other places used by us or our vendors. If you use the Service, you accept that transfer. Where a transfer tool is required by law, we rely on whatever mechanism is available to us (including standard contractual clauses used by a vendor). We do not warrant that every vendor meets every local privacy statute.

11. Security

We use reasonable administrative and technical measures appropriate to a small online utility (including HTTPS). No online service is secure. We are not liable for unauthorised access, interception, or loss except to the extent the law forbids us from excluding that liability. You must not treat the Service as a vault.

12. Cookies

We may use strictly necessary cookies and similar storage to run the site, keep sessions, and prevent abuse. Optional cookies, if introduced, will be described in the Cookie Policy. Browser controls may break the Service.

13. Requests we may receive from you

If a law gives you rights of access, correction, deletion, or portability, email support@contact.woodapple.online. We may refuse requests that are unfounded, excessive, or not required by law, or where we cannot verify you. We cannot retrieve in-browser files we never received. Deleting account data does not undo copies you already downloaded or that exist in payment or tax systems.

California and similar US state laws: we do not sell personal information for money. We may still disclose data as listed in this Policy. Submit requests to support@contact.woodapple.online. We may take up to the time the law allows.

14. Children

The Service is for users who meet the age rules in our Terms. We do not knowingly collect data from children below that age. If we learn we have, we will delete it when we reasonably can. Parents should contact support@contact.woodapple.online.

15. Changes; no vested rights

We may change this Policy at any time by posting a new version and updating the date above. The new version applies from posting (or a later date we state). You have no right to the old version continuing. If you keep using the Service, you accept the new Policy. If you do not accept it, stop using the Service.

16. No third-party rights

This Policy does not create rights for anyone except you and WeFixPdfs, except that our operators and vendors may rely on the limitations and allocations of risk in the Terms. It is not a representation to regulators beyond what the law already requires us to say.
